OCS (Online Commitment System) FAQ
We are ONLY using the OCS of the system we are using. The software can handle many things but we are only using the OCS. You may ignore all the other areas of the site.

You will need to re-issue a commitment after the offer expires with the correct date.
You may resend an offer to a parent at any time but you may not change the offer once it has been sent. To resend the offer click on the blue mail arrow button to the right of the players name to change or resend the email.
The parent MUST use the new email link to access the offer. If they find and try to use the old email, it will not work.

The parent needs to check their junk/spam folder to see if it went there. They should also check their email address with the OCS to see if it can be delivered. They may need to give you a new email address or add "offers@iavb.vstarvolleyball.com" to their approved list. Commonly referred to as a "whitelist".
If you want to offer or change a player to a different team there are a couple of scenarios:
1. If the offer has not been sent, you can change the bid. Once it has been sent, it cannot be changed.
2. If the offer has been sent but not accepted, the parents need to decline that offer and a new offer can be sent. The commissioner cannot do this for you.
3. If the original offer has been accepted, the commissioner can change the team in the system with parent permission or if the terms of the bid have changed the commissioner can release the player from the bid and the club director can reissue a new bid.
The system limits the amount of bids you can have out to parents. To fix the issue, create a team called "Declined". If you are getting this message move your declined bids from that team to the "declined" team you just created. That will free up space on that team to send out more bids. Go into that teams bids, click on the player name that has declined and select the new "declined" team and hit submit. It will not send out a new bid even though you moved them to a different team. Just don't hit the re-offer or auto send button as it will send out the new bid.
Please verify all commitment information BEFORE sending the offer to the players. It is suggested to call the player BEFORE sending the offer. This will help clean up any issues in case there was a mistake in sending the offer or the offer was not received. If an offer was sent improperly or with the wrong offer date notify the Commissioner AND Parent IMMEDIATELY of sending the offer.
